Invite teammates and control their roles and fleet visibility.
What is a user?
A user is a person who can sign in to your organisation’s Trakngo workspace. Each user has their own access, so nobody needs to share a login.
What a user experiences comes from two settings: their roles decide which features they can use, and their visibility groups decide which fleet records they can see. A user is distinct from a driver, which is a fleet record rather than an account.
Invite a teammate
Open Settings → Users to invite people to your organisation and manage existing access.
- Select the invite action and enter the person’s email and details.
- Assign one or more roles that grant the features they need.
- Select visibility groups to control which fleet records they can see.
- Send the invite. The recipient follows the emailed link to join.
Manage an existing user
Open a user to update their profile image, roles, and group assignments. The page also shows effective permissions, which is useful when diagnosing access.
A user only sees vehicles, assets, drivers, and geofences in their assigned groups unless they have organisation-wide group-management access.
Choose roles and groups together
Roles answer “what can this user do?” while groups answer “which records can this user do it to?” Review both when access is too broad or too limited.
Permissions
Viewing the user directory and managing user access are separate permissions. Plan limits may also cap how many users can be invited.
