Visibility groups

Control which users can see specific vehicles, assets, drivers, and geofences.

What is a visibility group?

A visibility group is a named set that contains both people and fleet records. Users inside the group can only see the vehicles, drivers, assets, and geofences that are also in it.

Groups exist because one organisation often covers several depots, branches, regions, or crews that should not see each other’s fleet. Where a role decides what someone can do, a group decides which records they can do it to.

How visibility groups work

Groups connect users to the fleet records they are allowed to see. They are useful for branches, depots, regions, teams, or customers that share one organisation.

Create and populate a group

  1. Open Settings → Groups and create a group with a recognisable name.
  2. Open the group and add its users.
  3. Add the vehicles, drivers, assets, and geofences those users need.
  4. Save, then verify access with a member of the group.

Plan group membership

A user can belong to more than one group and sees the combined records from those groups. Organisation-wide group managers are not restricted to those memberships.

When a restricted user creates a fleet record, Trakngo can associate it with that user’s visibility scope. Review membership after organisational changes.

Troubleshoot missing records

If a permitted feature opens but one vehicle, asset, driver, geofence, or user is absent, compare the viewer’s groups with that record’s group membership.
